Job Posting: Jury and Exhibition Coordinator
JURY AND EXHIBITION COORDINATOR
The Toronto Outdoor Art Exhibition (TOAE), a charitable not-for-profit organization, is seeking to hire a Jury and Exhibition Coordinator.
TOAE is a juried showcase featuring contemporary fine art and craft that takes place on Nathan Phillips Square for three days on the second weekend of July each year. TOAE serves as a fresh-air alternative to conventional art shows and galleries. Approximately 500 artists participate and over 100,000 visitors attend the exhibition every year. Side by side, established artists, undiscovered talents and innovative students sell their work directly to the public and make lasting connections with art dealers and collectors.
This is a seven-month contract from January 4, 2010 to July 31, 2010 reporting directly to the Executive Director. The position requires a person who can work flexible and lengthy hours during the jury process and during the set up and duration of the exhibition. This position is part time from January 4 to February 19, 2010.
Contract Fee: $16,000
Responsibilities:
Application/Jury:
• Manage application and correspondence related to exhibition
• Collect money orders and organize for deposit; sort applications into discipline
• Enter all artists into database
• Arrange catering for juries
• Organize juries and present all applications during jury meetings in conjunction with the Jury Chair and Executive Director
• Scan all slides to computer for upload to online catalogue and jury review
• Resize, reformat and clean-up digital images for online catalogue
• Track jury results
• Maintain confidentiality of applicant information
• Contact potential guest jurors and coordinate jury groups in consultation with the Jury Chair
• Develop and monitor all digital presentations
Artists:
• Manage communication with applying artists via email
• Manage communication with accepted artists via email
• Notify artists of jury results
• Assign accepted artists booth space on Nathan Phillips Square
• Coordinate requests for space changes
• Prepare artist acceptance and registration packages
• Prepare artist rejection letters
• Answer artists questions about exhibiting
• Select images for online artists catalogue
• Organize art square submission tracking
Best of Exhibition:
• Assist with the installation of exhibition
• Sit at gallery once per week
• Assist with the promotion through e-mail blasts and post card distribution
Interns/Volunteers:
• Train and direct intern staff or volunteers
• Oversee and coordinate volunteer schedule for Best of Show and exhibition
• Recruit, inform and encourage volunteers for the event
• Provide volunteer information for Event Assistant
Event:
• Manage troubleshooting team during exhibition
• Managing booth reallocation
• Offer assistance to volunteers and board members
• Communicate with the public
• Assist Chair and Executive Director during the awards ceremony
Judges:
• Coordinate judges for exhibition
• Prepare judges binder packages
• Greet judges for onsite arrival during the exhibition
Post Event:
• Reorganize office and event files with Executive Director
• Coordinate return of left-over application packages
• Organize artist survey data
• Maintain mailing lists and judge contacts for future reference
Press and Promotion:
• Assist the Executive Director with preparation, distribution and proofing of all press and marketing materials
• Organize distribution of promotional materials (flyers, posters, etc.)
• Assist Executive Director with press contacts
• Represent TOAE in a PR capacity via liaison with artists, curators and the arts community
Administration:
• Attend board meetings, committee meetings as required
• Prepare minutes of board and committee meetings as required
• Train and direct intern staff or volunteers
• Answers busy phone line and general e-mail account
• Provide additional assistance to the Executive Director during busy times
• Manage the office IT support including weekly back-up of computer files
Maintenance:
• Share responsibility for office cleaning and maintenance
Qualifications:
• At least two years work experience in non-profit arts administration
• A degree in Art, Art History, Art Administration or equivalent
• A strong interest in and knowledge of contemporary art practices
• Demonstrated experience with non-profit organizations
• Excellent organizational and multitasking skills in a fast-paced environment
• Excellent verbal, written and interpersonal communication skills
• Strong attention to details and problem solving skills
• Strong computer skills, including word processing, spreadsheets, email, data management on a Mac computer
• Practical knowledge of Microsoft Word, Filemaker Pro, Quark Express and Photoshop is a definite asset
• Valid driver’s license is an asset
